Admin CV Structure

Before you start writing your CV, you will need to plan the structure and style of the document. This stage is one of the most important because this element of the final document will help you to create a pleasant reading experience for potential employers, and give off a professional first impression.

How should an admin CV look?

You need to make sure that you keep each section of your CV clearly separated; using heading titles and keeping your CV simple and clean is a surefire way to help the employer with their task.

  • Your name, address, telephone number (evening and daytime)
  • Summary Section - Use this space to express your admin career aspirations and goals and to quickly connect with a potential employer. Stress your most relevant experience and skills for the position you are applying for.
  • Relevant Key Skills - A bullet pointed list you should use to define and explain what you believe to be your key skills and abilities, as well as personal skills and qualities.
  • Employment History - starting with the most recent and working backwards
  • Education (inclusive of vocational qualifications) - starting with the most recent and working backwards
  • Other major achievements - (e.g. voluntary/charity work or climbing Mt. Kilimanjaro)
  • Hobbies and interests (optional)

Certainly you should try to keep the style simple with a clear crisp font, break text up for easy reading, and don’t add images or logos – they will distract from the all-important content.

Finally, be concise. Always try to limit it to a maximum of 2 sides of A4. This doesn't mean that you should leave information out, but it will require you to be brief and straight to the point on some of the information you provide.

Admin CV Summary Section

The summary section of your CV plays a very important role, because it is the first thing an employer is likely to see upon opening the document, so really you only have a few seconds / words to grab their attention!

Your CV summary (sometimes called a personal statement) should be a punchy introductory paragraph of about 5 - 8 lines.

Importantly though avoid generic cliches like “hardworking team player” – they are overused and don’t tell readers anything with any merit to grab their attention.

As an administrator, these are the types of content that should be going into your profile:

  • What types of businesses have you worked for? Large corporate firms? Small high street offices? If you have no work experience, you can always draw on school or college experience.
  • Relevant Qualifications – IT, maths and English qualifications can be important in admin jobs, as can vocational qualifications such as the C&G Business and Administration qualification
  • Essential admin skills – Although every administration role will be unique in its own rights, there are certain skills that are required in just about all of them. Skills such as data entry/management, reporting, typing, filing, diary management etc.
  • Who have you supported in previous roles? Head of departments? Company directors? Large Sales teams?
  • Software knowledge (particularly important now in our modern digital world) – Many admin jobs will require the use of common systems and software such as Microsoft Office package (sometime know as Office 365)

Make it stand out with Relevant Key Skills

To create an even bigger impact towards the top of your CV, add a key skills section underneath your summary.

  • Customer Services
  • Bookkeeping - Possibly including software knowledge gained such as Sage, Quickbooks
  • Communication skills

Although there are many different types of admin jobs, the following skills tend to appear frequently in the candidate requirements for admin roles.

Business/office support - Most administrative roles revolve around the support of senior figures in the business or the office as a whole. Your CV should contain examples of who you support, and how your input helped to achieve a smoother running business.

Data entry and management - Admin jobs can often require large volumes of data to be managed, ensuring that it is properly processed, stored and distributed where required. Indicate your ability to handle sensitive data and any software/tools used in the process.

Document preparation – Preparing emails, reports, possibly printed letters and other important business documents is an essential part of administration.

Communication – Communicating with colleagues to provide updates and information is a valuable skill for any administrator.

Microsoft Office - In most workplaces across the globe, Microsoft Office is the go-to business software suite. Your CV must demonstrate your abilities with Word, Excel, PowerPoint and any other widely used programmes.

    The layout of your CV should be in a logical order, with sufficient spacing and clear section headings.
    Where you are listing items that include dates, for example work and educational history, make sure you lay these out in chronological order; starting with the most recent items first in the list.
