Objective of the role

Reporting into the Senior Coordinator
Working within a busy sales office. Assist the Senior Coordinator with the activities provided to a team of engineers to achieve maintenance, project objectives and customer satisfaction. To help ensure efficiency within the operations of the office

Job Summary

  • Monday to Friday, 0830 to 1700

Responsibilities

The following are a list of responsibilities for this role:

  • Allocate suitably trained engineers to carry out service, commissioning, and breakdown visits in accordance with customer requirements
  • Provide the Senior coordinator with engineers completed site reports, highlighting any time and material proposals required to complete tasks in accordance with customers timescales
  • Monitor the return of these reports and ensure that the customer is sent a copy within 3 days
  • Gain feedback from the engineers, report into the senior coordinator the progress made on site in terms of keeping to pre-set deadlines, additional hours required, working practices/standards and technical problems and recommended remedial action
  • Maintain regular contact with customers representatives so as to ensure customer satisfaction at all times
  • Efficiently handle all breakdown calls and coordinate remedial action, subject to engineer availability
  • Ensure all engineers are in possession of necessary equipment (including appropriate safety workwear) to complete tasks
  • Liaise with other contracts/sub-contractors to ensure site operations are fully coordinated
  • Handling of customer complaints
  • Provide forecasts for revenue, profit and labour requirements for each site on a monthly basis
  • Ensure all information (site reports, timesheets etc) provided by the engineers are accurately recorded on Xero and that all files are kept up to date for each contract
  • To work to and maintain 5% of the branch overdue debt as a target
  • Work in conjunction with the business’s credit controller, attending all debt reviews and to follow up all defined actions
  • Accept from the sales team, new contract information (detailed) and complete all appropriate paperwork
  • Submit accurate overtime details for engineers to payroll in line with deadlines
  • Maintain holiday records and submit expense forms to finance on a regular basis
  • Audit regularly the engineers CSCS cards and other renewable training, plan within a timely manner

Education

  • High level of proficiency in Microsoft Office Suite (Outlook, word, publisher etc)
  • Computer literate

Experience

  • Previous office experience (within a busy environment)
  • Experience of having worked within an engineering environment and/or similar
  • Previous experience of having to plan and prioritise workload accordingly in order to maximise results
